Top Dos and Don’ts to Protect Office Machines

Office Laptops and Desktops might be more prone to damage in home than in workplace.

In this article we will go through some best Dos and Don’ts when you are using office machines in work from home environments.


1.Shutdown laptop properly once you done for the day


Shutting down a system is always recommended and preferable as it refreshes the entire system, the processor cores, network, HDD, RAM memory management, etc. So, if you know you’re not going to use it for two or more hours it’s better just to shut it down.

2.Charge laptop battery at once and utilize it.


To perform a deep cycle, first charge your laptop battery to full capacity, then unplug your power cord and let it sit for about two hours to cool from the charging process. When you are using your laptop and your battery reaches five percent then plug in the power cable and let it charge to full capacity again uninterrupted.

3.Avoid overheating of the laptops/Desktop

To avoid overheating keep your laptop on a hard surface, away from the floor, such as on a desk or tray. Also, regularly clean your laptop’s vents of any dust, which you can do with a can of air spray.

4.Keep your laptops away from magnetic fields

Technically it’s possible to damage a laptop’s hard drive with a magnet, but it would take a very powerful magnet to do the job. So, it is recommended to place all your laptops and desktops away from magnetic fields

5.Use your laptop only on solid, flat and dry surfaces.

Laptop computers should be placed in an area with good air circulation. Overheating is a real problem for such small computers, and it can cause serious short term and long term damage. Be sure none of the air vents are blocked. Vents are usually located on the sides and back of the unit, but some models have air vents on the bottom as well.

6.Avoid sleep mode if laptops will not be used for several days.


When you used sleep mode, battery can still drain slowly over the course of hours or days in “Sleep Mode”
Computer’s RAM never gets a break and can become full or overloaded.

Sleep Mode is the best option when you’ll want to pick up exactly where you were within the course of a few hours.      E.g. Change locations to resume working, Take a break for a meal, Step away from your desk long enough for your laptop to put itself to sleep.

7. Avoid laptop charging in voltage fluctuations

It could be damage laptop battery, charger, hard disk and any other hardware components if you tried to charge you laptop in very high or very low voltage supply. So, to avoid this you can charge laptops and all other electronic device under UPS power supply, it will control voltage fluctuations and provide only required power supply.

8.Hold and lift the laptops by its base, not by its screen/display


1.Never leave your laptop unattended.

First of all it is not recommended to use public network for your office work, in case if you use your computer in a public space or while remote working, make sure you never leave your laptop or other device unattended. By doing such things could be putting IT security at risk and it may get hold of confidential information and hack your accounts at a later date.

2.Do not put anything in the laptop

Avoid to put anything in the laptop while working. e.g. pen, pencil. Also avoid to put any form of the liquids near by the laptop e.g. tea, coffee water etc.

3.Do not place anything on top of the laptop

Putting anything on top of the laptop could damages your laptop. Pressure to the area behind the screen can cause irreversible damage to the screen and other hardware components.

4.Don’t charge your laptop over full night

To proper care of your battery is essential to making sure it retains a long life and charge. Laptops are only as good as their batteries, Leaving laptop plugged in constantly is not bad for battery, but you will need to be careful of other factors, such as heat, to prevent your battery from damage.

5.Do not expose your laptop in extreme temperatures

(e. g., in your car) or ultraviolet light (e.g. in a tanning booth) for extended periods of time. Leaving your laptop in your car in extreme heat or cold could cause damage.

6.Don’t toss/throw the laptop, even in the padded case.

Eventually laptops, desktops and other devices are electronic devices and by throwing it could be damaged physically or logically .

7.Do not place stickers/labels on office laptop

Without approval from the respective departments of the organization it not recommended to place any labels or stickers on office laptops and desktops.

8.Do not insert any cords or cables to charge mobile.

It is not recommended to use mobile cords to charge personal mobile phones on the office machine.
